General Data Protection Regulations (GDPR) Privacy Policy

 

Robert Rhys is committed to protecting your personal information.  References made to Robert Rhys means both the sole practitioner, Robert Rhys and his Practice.  This policy explains how personal information about you is collected and used.

 

No personal data about you (i.e. that which relates to an identifiable person) is collected unless you contact the Practice.  Personal data which is gathered is only used as permitted by law.

 

1.         Who is Robert Rhys?

 

Robert Rhys is a sole practitioner chartered surveyor in rural practice.

2.         Information Gathering

 

Personal information to include your name, address and other contact details is collected at the first point of contact from you with the Practice and subsequently and is stored both on computer and on paper.

 

Information provided comes from:-

 

(a)        E-mail, and postal correspondence;

 

(b)       Via telephone;

 

(c)        Meeting with you, and

 

(d)       Information supplied with your authority by a third party such as your solicitor   or accountant as the case may be.

 

3.         Information Processing

 

Information about you is used for the fulfilment of the land agency services contract that you have entered with the Practice.  This website is not involved with the transfer of information via browsers, or line advertising.  Your data will not be shared with third parties without your permission.

 

The information may, however, be shared with a regulatory authority or any other party when sharing of that information is required by law.  

 

This website does not have links to other websites.

 

4.         Legal basis for processing of your data

 

The legal basis for processing of your data is ‘contract’ as defined by Article 6 of the General Data Protection Regulations where processing is necessary for the performance of a contract to which the data subject, the client, is a party. 

 

5.         Access to Personal Information

 

Data gathered and held by the Practice is primarily processed by Robert Rhys, the sole practitioner.  He is supported by a part-time self-employed secretary who mainly carries out audio dictation transcribing.  The secretary is wholly aware of the need to maintain confidentiality.

 

Robert Rhys takes reasonable administrative and technical measures to protect information provided by you to the Practice and to avoid unauthorised access, modification or misuse.

 

6.         Keeping Information

 

Information on paper files and on computer will be kept for at last six years following completion of an instruction, often for longer, but only for as long as is considered necessary after which the files will be destroyed. 

 

7.         Updating and changes to your data

 

If your information changes from time to time please ensure that Robert Rhys is so notified.

 

8.         Your Rights

 

You have the right to:-

 

(a)        To keep Robert Rhys updated as to the correctness of the data held.

 

(b)       To request a copy of the personal information held about you.  If Robert Rhys has not personally met you then the Practice may require you to prove your  identity with at least two pieces of approved identification.  Please submit your request in writing to the address details given below.  The Practice will respond within one month of receipt of your written request and confirmed identification.  This request is free of charge unless it is manifestly unfoundedor excessive.

 

(c)        To have any inaccuracies in your personal information corrected.  If you would like to update the details held about you please contact the Practice as per the contact details below.

 

(d)       To request that all your personal data is removed from the Practice’s records.

 

(e)        To object to or restrict certain types of processing such as direct marketing.

 

(f)        To object to automated processing to include profiling.

 

9.         Enquiries and Complaints

 

Should you have an enquiry relating to this Privacy Policy please be in touch setting out your enquiry in writing.

 

If you are unsatisfied with the Practice’s work or something which has been done or not done, please inform Robert Rhys in writing.  Receipt of all complaints will be acknowledged and investigated as soon as is reasonably practicable.
